Job description

As the Senior Project Specialist, Office of the CEO, you will be essential to the company as we grow in size and organizational complexity.You will report directly to the CEO, and will help manage and create visibility into key business priorities as they emerge. You will collaborate with a range of leaders at Superconductive. The ideal candidate is a highly dynamic and driven team player who is excited by the opportunity to use their expertise to help increase CEO effectiveness by freeing up bandwidth through support across the following:

What You'll Do

Project Management

  • Advance corporate priorities in alignment with the CEO’s vision, acting as a project leader for strategic initiatives in a highly collaborative and cross-functional, multi-level environment.

  • Manage one-time and recurring projects, meetings, activities, and initiatives related to our corporate strategy and CEO Office, from development through successful execution and follow-through; taking ownership, identifying and filling gaps, all with minimal tactical oversight - drive to completion

  • Conserve the CEO’s time by proactively reading, researching, collecting and analyzing information

  • Work closely with cross-functional colleagues to ensure a coordinated approach toward launch of key initiatives

Expert Communication

  • Effectively drive alignment and understanding across stakeholders through efficient communication that reduces ambiguity for all

  • Understand the importance of both method and timing in communication, and skillfully adapt style to match context and meet the unique needs of audience

  • Demonstrate an aptitude for powerful, persuasive writing in multiple formats

Meeting Support:

  • Act as the quarterback to the CEO, making sure he is always equipped for meetings and conversations, both internal and external, and that he is always able to circle back with meaningful follow ups and next steps

  • Be accountable for planning, tracking, and documenting projects to ensure individual and team objectives and key results are being met

  • Plan and coordinate various team meetings & events - support quarterly board meetings, weekly Steering Committee meetings and various team planning sessions (meeting planning, preparation, and follow-up)

  • Help complete priority items for the CEO on tight timelines to an appropriate level of quality; ranging from strategic memos to presentation decks to emails

Ownership and Partnership

  • Expand the capacity of the CEO to be in many places at once by building relationships and trust with his key people inside and outside Superconductive in a way consistent with our values and commitment to service

  • Research, prioritize, and follow up on incoming issues and concerns addressed to the executive, including those of a sensitive or confidential nature. Determine appropriate course of action, referral, or response

  • Maximize CEO efficiency by proactively proposing and building out scalable systems and processes to support organizational growth

  • Be a team player who lives the Superconductive mission and corporate values internally and externally

Judgement and Problem Solving

  • Ensure the CEO’s time is aligned with his priorities through demonstrated understanding of the core business and by leveraging expert prioritization strategies

  • Increase bandwidth for the CEO by anticipating needs and taking ownership of planning, executing, and delegating activities, creating an extra layer of accountability

  • Work autonomously to manage priorities and make trade-offs when needs change; capable of prioritizing business needs and making trade-offs across all stakeholders accordingly

  • Demonstrate positive, can do attitude, exceptional organization, discretion, attention to detail, time management skills and follow through

  • Manage inquiries quickly, proactively, and follow through on tasks to successful completion

Job requirements

  • BS/BA degree preferred, or equivalent experience

  • 5+ years of experience specifically in research analysis and strategic and creative planning ideally in a consulting, sales, marketing, developer relations, revenue and/or business operations role

  • Experience in a startup environment, where systems are not all in place and built as needed

  • Ability to effectively manage multiple projects at a time

  • Someone who can fly high and fly low, understanding the vision or "done state" and tracking the steps to get there; organized, detail-oriented with demonstrated expertise in project management / project leadership and a solution-oriented mindset

  • Entrepreneurial drive and a willingness to roll up sleeves to directly solve challenging problems

  • Ability to understand complex business challenges and turn them into impactful solutions

  • A keen sense of prioritization and the organization skills necessary to keep everything moving forward
